About the Role:

The Scheduler at Momentum Counseling and Consulting plays a crucial role as the initial point of contact for clients seeking clinician matches. This position involves ensuring clients are connected with the most suitable clinician, serving as the primary liaison between clients and clinicians throughout their search for the right fit. The Scheduler is responsible for promoting healthy team culture, maintaining the new client list/waitlist, scheduling appointments, and managing incoming inquiries.


Job Description:

We are currently seeking a detail-oriented individual with scheduling and administrative experience to join our team as a Full-Time Scheduler. In this role, you will be an essential part of our practice, facilitating the seamless matching of clients with clinicians and supporting the scheduling process.


Responsibilities:

- Inquiry Management: Respond to and manage our inquiry email, ensuring timely and effective communication.

- Clinician Matchmaking: Match new clients with clinicians based on specialties and client needs, contributing to positive client-clinician connections.

- Appointment Scheduling: Schedule appointments for new clients with clinicians, maintaining an organized scheduling system.

- Phone Communication: Answer phones, collect new client information, and provide initial assistance during the intake process.

- Schedule Management: Effectively manage clinicians' schedules, ensuring optimal utilization of their availability.

- Waitlist Maintenance: Maintain the waitlist and schedule appointments based on clinician availability.


Requirements:

- High school diploma or equivalent (bachelor's or associate's degree preferred).

- Experience in scheduling and administration.

- Positive attitude and a caring, compassionate demeanor.

- Strong customer service skills.

- Ability to collaborate effectively with clients, clinicians, and the administrative team.

- Excellent communication skills.

- Knowledge of HIPAA compliance.

- Basic understanding of insurance processes.
